Effective August 12, 2026. OttawaList only asks for information needed to review local listings, answer messages, discuss partnerships, or process newsletter requests.
Information you choose to send
Our forms may collect your name, email address, event or business details, links, and the message you provide. Please do not submit sensitive personal information.
How it is used
We use form information to review event submissions, reply to questions, discuss partnerships, and manage newsletter subscriptions. If you join the newsletter, OttawaList uses your consented address to send a welcome message and the Friday weekly event email. Submitting an event does not guarantee publication.
Form processing
Forms are processed by Formspree. For a first-time newsletter signup, Formspree receives the address as a signup record. Netlify Blobs stores the subscriber address encrypted with AES-256-GCM, a keyed identifier used to prevent duplicate subscriptions, and limited consent, signup, unsubscribe, and delivery-status records. EmailJS receives the address and newsletter content needed to send the automated welcome message and weekly Friday email. These providers may process technical and form data under their own privacy terms.
Retention and sharing
We keep submissions only as long as reasonably needed for the purpose they were provided. Active newsletter addresses are retained while the subscription remains active. Delivery records are kept to prevent an issue from being sent twice. We do not sell personal information. We share information only with service providers that help operate the site, or when required by law.
External links
OttawaList links to event organizers, ticket providers, maps, and Instagram. Those services have their own privacy practices.
Your choices
Every weekly newsletter includes a first-party unsubscribe link. Opening the link shows a confirmation page; the subscription changes only after you confirm. A successful unsubscribe immediately removes the encrypted address and unsubscribe credential from OttawaList’s subscriber store. OttawaList retains only the minimal non-addressed suppression and delivery records needed to honour the opt-out and avoid duplicate sending. You may ask about, correct, or request deletion of information you submitted by using the contact form.
Updates
We may update this notice as the site and its services change. The effective date above will be revised when material changes are made.
